Determine which staff members are authorized and which are responsible for use of each piece of equipment

Why

It is important to create transparency and ensure correct use and maintenance of equipment. This prevents situations in which nobody knows whose task it is to perform preventive maintenance on specific pieces of equipment resulting in a situation where nobody performs this maintenance. It also prevents that people who haven’t had training or instructions use specific pieces of equipment, which may result in damage to the equipment due to incorrect use.

What

Per piece of equipment staff members must be authorized to use the equipment and you must make one staff member responsible per piece of equipment.

 

Authorizing staff members creates overview of who uses the equipment and ensures that these users receive appropriate training and instructions before using the equipment.

 

Making a staff member responsible for a piece of equipment helps to ensure that preventive maintenance and calibration are performed and it facilitates early detection of defects. The responsible staff member must perform the daily routine preventive maintenance and notify the Equipment Officer in case of irregularities. Note that different staff members can be made responsible for different pieces of equipment.

How & who

Laboratory Manager:

  1. Explain in a weekly staff meeting that for each piece of equipment somebody is made responsible and staff members need to be authorized for use. Explain the reason for this (as described above) and that, if new staff members start using specific pieces of equipment, this must be notified to you.
  2. Select staff members that can be made responsible for specific pieces of equipment and insert their names in the Equipment Register.
  3. Step 1 and 2 are a continuous process: every time a staff member wants to start using a specific piece of equipment, this staff member must first be authorized. Every time a new piece of equipment is purchased by the laboratory you must make somebody responsible and authorize staff members for use according to the same procedure.

 

Equipment Officer:

  1. Add two columns to the Equipment Register to insert the name of the staff member who is responsible for a piece of equipment and who is authorized to use the piece of equipment.
  2. Make an inventory per piece of equipment who uses it and insert their names in the Equipment Register.
  3. Ensure that the staff members responsible for pieces of equipment know what their responsibilities are.
  4. Ensure that all the staff members that are authorized for use of equipment receive correct instructions on use of the equipment.
  5. Step 3 and 4 are a continuous process: every time a staff member wants to start using a specific piece of equipment, this staff member must first be authorized by the laboratory manager and you must ensure that this staff member is appropriately instructed.
